Automated Emails in Pulse

This article provides details on automated emails sent from Pulse, their recipients, and how to check if a user received one.

Pulse users may receive automated emails from Pulse. Some users will receive emails based solely upon the role they have been assigned. These are the following types of auto-generated emails in Pulse:

TIP: If users are unsure if an email has been sent, they can check for auto-generated emails in the User Record.

User Emails

Account Creation

Description: Upon creating a new user account, an email notification is sent to the user that includes Pulse login information (e.g., URL, Username, Password).

NOTE: This notification can be turned on and off at the Client level.

Trigger: Account Creation (Save, Save & Close, Import Approval)

Recipients:

  • To: Primary email on account record
  • CC: Any other email associated to the account record

Forgot Password

Description: When a user clicks on the forgot password link, a temporary password is sent to the any email address associated to the Username entered. The user can then use the temporary password to successfully log in and create a permanent password.

Trigger: Entering the username on the splash screen and clicking forgot password

Recipients:

  • To: Primary email on account record
  • CC: Any other email associated to the account record

Student Emails

Student Enrollment

Description: When a student is enrolled in a class, a notification is sent with the class name, primary teacher name, and primary teacher email.

Trigger: Created enrollment

Recipients:

  • To: Student
  • CC: Mentor(s)

Course Completion

Description: When the student’s enrollment is finalized in the learning management system (LMS) and Pulse, a notification is sent with enrollment details (e.g., class name, primary teacher name, teacher email, class credit, final grade percentage).

Trigger: Enrollment finalized in LMS and marked completed in Pulse

Recipients:

  • To: Student
  • CC: Mentor(s) and primary teacher

Course Drop

Description: This notification is sent when a student’s enrollment is dropped and includes the student name and class name.

NOTE: The Email checkbox must be checked when an enrollment is dropped for the recipient(s) to receive the notification.

Trigger: Enrollment status is changed to Dropped and Email checkbox is checked

Recipients:

  • To: Mentor
  • CC: Client Success Specialist (CSS) (if applicable) and Primary Teacher

Course Expiration

Description: When an enrollment is active and it is ten (10) days prior to the enrollment end date, a notification is sent with the class name and enrollment end date.

Trigger: The enrollment is active, and it is ten (10) days prior to enrollment end date

Recipients:

  • To: Student
  • CC: Mentor(s), CSS (if applicable), teacher(s)

Student Progress

Description: This notification is triggered five (5) times per year and includes: current progress within all courses, class name, primary teacher name, primary teacher email, class enrollment end date, date of last activity, grade to date, and gradable progress percentage.

Trigger: Active student enrollments; sent every three weeks

Recipients:

  • To: Student
  • CC: Mentor(s)

Teacher Emails

Teacher Enrollments

Description: When a teacher is enrolled in a class, a notification is sent to the teacher that includes the class name and active enrollment count.

Trigger: Newly created teacher enrollment

Recipients:

  • To: Primary teacher
  • CC: Additional teacher(s)

Student Enrollment – Teacher

Description: A course enrollment notification is sent to all teachers of the class that includes: student name, student username, student email, class name, client name, CSS (if applicable), Student Learning Advocate (SLA) (if applicable), and Special Education status.

Trigger: Student enrollment in a class

Recipients:

  • To: All teachers of the class
  • CC: N/A

Course Reinstatement

Description: When a student’s class enrollment is reinstated, an email is sent to the teacher including the enrollment’s previous and current statuses, as well as the student’s name, username, email, class name, associated client name, CSS (if applicable), SLA (if applicable), and Special Education status.

Trigger: Enrollment is changed from Non-Active status to Active status

Recipients:

  • To: Primary teacher
  • CC: Additional teacher(s) (if applicable)

Accommodations

Description: This notification is sent when a document is uploaded to a student record and includes the student name and client name.

Trigger: Document is uploaded to student record

Recipients:

  • To: Primary teacher
  • CC: All other teachers

Miscellaneous

Bounce-Back

Description: This notification is sent when an email is not deliverable due to an invalid email address.

Trigger: Email is non-deliverable

Recipients:

  • To: User who triggered the email or CSS
  • CC: N/A

Client Creation (Internal ONLY)

Description: This notification is sent to a distribution list when a new client record is created in Pulse.

Trigger: Saving a new client record

Recipients:

  • To: clientcreation@lincolnlearningsolutions.org
  • CC: Client Success Specialist (if applicable)

Checking Auto-Generated Emails

To see if an auto-generated email was sent to a user, you have to first go to the user's Communication log. Begin by searching for the user in the Users tab of Pulse.

Click the Full Name hyperlink to open the user record.

By default, the user’s Information record displays. Click the Communications tab.

The user’s Communications log displays. Use the search tools to locate specific information.

Click the icon in the Actions column next to the auto-generated email you wish to view.

NOTE: Refer to the DateFromSent To Email, and Subject columns for additional information about the email.

The full content of the email displays.

IMPORTANT: Two common auto-generated email notifications are the Account Creation Notification (i.e., notification sent when a user account is created containing login information, the link to the URL, username information, and a temporary password when applicable) and the Enrollment Notification (i.e., details about a user enrollment).

NOTE: The Account Creation Notification can be turned off by user type. Contact your Client Success Specialist for more details.

NOTE: The Account Creation Notification only contains a temporary password when no password is created and assigned to the user upon creation.

TIP: Copy and paste the email’s contents into a Word document to send as an attachment to any individuals wishing to view it (e.g., parent, guardian, mentor, or administrator who is having issues receiving the communication via email).
